POLICIES AND PROCEDURES FOR GRADUATE ASSISTANTSHIPS

To be considered for a graduate assistantship, you must meet all of the conditions described below. If you should
qualify, please complete the application and send it together with your most recent resume to the Office of the
Graduate School, Wilson Hall, Room 210, Monmouth University, West Long Branch, NJ 077641898 or fax to 732-571-
7573. Your application must be received by May 1st for Fall semester and by November 1st for Spring semester to be
considered for a graduate assistantship.
1) An incoming graduate student must be duly matriculated in a program and have a GPA of not less than 3.0 in
his/her undergraduate education.
2) After having matriculated in a program (for one or more semesters), a graduate student must have a GPA of not
less than 3.0 in his/her graduate courses (after completing 2 or more courses) in order to apply for a potential
graduate assistantship.
3) International graduate students - Monmouth University does not offer graduate assistantships to first
semester international graduate students.
4) Education majors may not hold a graduate assistant position during a semester of student teaching.
5) A student may be awarded an assistantship for a maximum of 9 credits or the actual credits
registered (whichever is smaller). Graduate assistantships are compensated according to a rate scale based on
credits. For example, a student awarded a 9 credit assistantship will perform tasks that occupy approximately 20
hours per week for a fifteen-week semester (300 hours) and will receive compensation equal to the cost of 9
credits plus 15% to cover Social Security and other mandatory tax contributions. Tuition payments and
applicable deductions will be withheld from the student's pay and will be applied directly to the student's
Accounts Receivable account. Please note that a graduate assistantship does not cover fees such as:
comprehensive fees, laboratory fees, etc.
6) If a graduate assistant is also receiving a graduate fellowship, then the sum of the fellowship amount and dollar
equivalent of the graduate assistantship should not exceed the student’s tuition for a semester.
7) Graduate assistants must be registered for the semester that they are receiving the assistantship (i.e. graduate
assistants cannot count credit hours worked in one semester toward tuition for another semester).
8) Upon receiving and acceptance of a graduate assistantship position, the student is responsible for the
completion of:
Approval and Acceptance Form
The Approval and Acceptance form must be completed by the sponsoring
department and the student for each semester. These forms must be completed and returned to the Graduate
School Office in order for the graduate assistantship to be processed.
PLEASE NOTE: a W-4 and I-9 form must be received with the completed Approval & Acceptance Form.
Graduate assistantship awards cannot be processed without the completion of these forms. Delay in
completion of the I-9 may cause reduction of the graduate assistantship amount.
W4 FORM: The graduate assistantship award is taxable.
I-9 FORM: Requires the presentation of identification:
• for U.S. citizen Students: a U.S. Passport or

U.S. driver’s license or government issued photo ID

II.
Social Security card or an original copy of birth certificate
• for International Students:
A passport, Social Security card, I-20 and I-94 forms
9) Assistants will be expected to work on campus during the hours scheduled by the sponsoring department.
10) Assistants who do not perform their duties satisfactorily, may be dismissed by the sponsoring department
supervisor and lose their assistantship at anytime.
11) A new application/resume is required for each semester that you wish to be considered for an assistantship, by
the above deadlines. Applications are not renewed automatically.
12) The Office of the Graduate School Dean should be promptly notified if an application has to be withdrawn.
