for those judges receiving paper applications

Create and save the merge file and identify the date/time stamp (instructions)
•
If the judge is not in the database (i.e., nominated, newly confirmed, state trial courts) create a spreadsheet using our template.

Fill out the
Letter of Recommendation Request – Paper Judges form
•
Check the appropriate box on the form to indicate routing of letters: to OCP for bundling OR mail directly to chambers
•
Email the form to faculty assistants/OCP for processing – also note in email your choice of routing
•
Please cc
clerkships@umich.edu
on all requests even if we are not holding a letter

Be very clear in your email that these are email judges
•
List email address for each judge in the body of your email, along with any other instructions like a required subject line
•
Ask assistants and/or OCP (for outside letters) to email letters directly to chambers after the date you say you will be sending your materials

Email your materials to chambers; your cover letter should state that your materials are attached and that recommendation letters from X, Y,
Z will follow in separate emails
IF - and only if - a judge specifically asks for everything – including letters of recommendation - in one pdf:
o
Same process as above, but ask assistants to email the letter(s) to OCP (clerkships@umich.edu) for bundling
Send your application materials to OCP (clerkships@umich.edu)
In your email to OCP include the email address for each judge and what letters we should be receiving from the assistants
